Description of Job

Edgewood College is seeking a full-time, 12 months, a reference Librarian position with dual responsibilities.  The Archives portion performs specialized duties associated with the college archives collections while the operations manager portion provides designated facilitation and leadership duties as assistant to the Director.

Responsibilities

Budget Management & Support

  • Prepare, maintain, and verify all financial and statistical records using appropriate technology.
  • Post, balance, monitor, and reconcile internal department/division monthly ledgers, budgets, and financial reporting system reports.
  • Prepare monthly financial statements, reports, and fiscal year-end report.  Submit to Library Director for review.
  • Review vendor invoices; process purchase orders and invoices and submit deposits to business office.
  • Work closely with Business Office personnel in maintaining campus standards and policies; prepare audit reports; and inform library of campus policy and procedure changes.
  • Utilize local accounting system to resolve discrepancies.
  • Prepare, review and submit monthly credit card reports and travel vouchers as necessary.
  • Order all print/physical materials for the library’s collection

Archives and Digitization Support

  • Process new Archives materials.
  • Continue the process of adding current Archives items to ArchivesSpace finding aid (complete accession records, review accession records in ArchivesSpace and create resource records for those items).
  • Oversee and field reference questions related to Archives.
  • Work with college departments needing Archives support (i.e. Advancement, Marketing, etc.).
  • Prepare Archives related displays and promotional materials.

Information Services

  • Provides specialized reference assistance to students, faculty, and visiting scholars, both on-site and remotely.
  • Partners with faculty, developing and delivering curriculum-integrated library instruction.
  • Establishes instructional goals and strategies, promoting instruction offerings and collaborating with faculty and administration to promote information literacy.
  • Teaches course-integrated instruction across disciplines at both undergraduate and graduate levels.
  • Maintains awareness of best practices and trends in library instruction and instructional needs and implements practices, as appropriate.
  • Serves as a library liaison to one or more academic units and provides customized services.
  • Manages and expends acquisition funds in areas of responsibility.
  • Collaborates with department chairs & faculty to determine priorities for the collection.
  • Actively evaluates assigned collection areas to determine quality, currency, and relevance; making removal recommendations.

Document Delivery Services

  • Oversees the effective management of all aspects of document delivery services including setting policy, establishing goals, implementing procedures, and planning workflow and processes.
  • Provides leadership in evaluating, recommending, and implementing new technologies and service models.
  • Maintains and troubleshoots document delivery software and hardware.
  • Ensures copyright compliance as related to document delivery.
  • Prepares monthly and annual reports.
  • Keeps current with emerging trends and technologies, evaluating developments, and recommending directions including the review of pay-per-view access, digital transmission, and related activities.
  • Assists in the marketing of Document Delivery Services to patrons.

Miscellaneous

  • Maintain all general Library supplies.
  • Coordinate donations with Development Office and record donations in the library records
  • Administer special projects and other tasks as assigned by the Director and other Library staff.
  • Prepare reports and other documents for all Library Staff, as assigned.
  • Participate in unit planning activities and special projects as required.
  • Other duties as assigned.

Job Qualifications

Necessary Education or Work Experience

  • Masters degree in Library & Information Science (MLS) from an ALA accredited program.
  • Recent experience or course work in reference services
  • Demonstrated budgetary management and financial analysis skills and experience.
  • Must be able to lift up to 40 pounds

Required Knowledge and Skills

  • Able to work independently and collaboratively in a team-based environment.
  • Knowledge of general accounting principles
  • Knowledge of supplies, equipment, and/or services ordering and inventory control.
  • Able to use discretion and make administrative judgments based on existing operating guidelines to resolve day to day operating issues
  • Excellent problem solving, multi-tasking, and organizational skills.
  • Exhibit excellent communication skills, and a strong, proactive service orientation.
  • Successful project management experience including a demonstrated ability to plan, and implement and assess projects.
  • Ability to troubleshoot computers and/or software applications.
