Academic Records Specialist
Description of Job
Responsibilities
Primary phone coverage
Manage Registrar email account (answer emails or forward to appropriate person)
Process student forms (registration, personal updates, etc.)
Process transcript requests
Supervise student worker(s)
Process verification requests (NSC Degree Verify)
Verify enrollments for outside agencies & loan deferments
Withdraw students (medical, dismissal withdrawals)
Manage office supplies (order as needed)
Process Independent Study Contracts
Manage priority registration process (set up, communication, execution)
Serve as Iron Mountain POC (order old record cards, supervise old record card indexing project)
Update/monitor Registrar Office website/Sharepoint
Determine academic standing based on college policy
Program Coordination and Office Support:
Provide exceptional customer service to students, faculty, and staff who contact the Registrar’s Office for assistance
Coordinate complete business process cycles for key program areas of the office, such as setting up the priority registration schedule, maintaining prerequisites and corequisites for all courses, tracking curricular changes, and scheduling final exams (only a few examples of the possible program areas)
Accurately process a variety of forms and update the student information system as appropriate
Provide assistance with day-to-day processing for Registrar’s Office co-workers as needed
Develop new and improve existing processes and procedures as needed
Job Qualifications
Necessary Education or Work Experience
- Associate’s degree or three years of administrative work experience
Required Knowledge and Skills
- Attention to detail
Excellent written and verbal communication skills required 
Organizational, interpersonal, and problem-solving abilities a must 
Must be able to work independently and proactively identify necessary steps to resolve a wide variety of issues as they arise 
Ability to interpret complex policies and operational protocols and make decisions related to individual circumstances 
Specialized Technology Skills:
Overall Proficient skill-level in Microsoft Office, which includes: Word, Excel, Power Point, Outlook, and basic computer concepts 
Willingness and ability to learn new software
